We have a demo instance and a production instance of a particular workflow. I got a frantic call from one of the business people telling me that she didn’t have access to all of the roles in the demo instance that she does in production.

I verified this and attempted to correct it by assigning her to the various additional roles. When I asked her to close her browser, then re-open it and navigate back to her worklist, no change had been made.

Let’s say a person actions a Process Instance in your workflow, but the item seems to “disappear” unexpectedly — routed to a special queue for workflow administrators because of an error condition. It would certainly be nice if the “actioner” was notified about the problem too, right?

As I was walking our business users through the role management features of the K2 Workspace, they lamented that they K2 didn’t give them visibility inside of the Active Directory groups which are assigned to various roles. My quick solution was to provide them with a PowerShell script which would give them the insight they were looking for.

I was recently asked if one can determine whether a specific person has a specific process instance in his/her worklist. The answer is yes — an administrator can do this from the K2 Workspace if some attributes about the process instance are known.

Of course we want to make our solutions more convenient for the user — so it seems natural to have a hyperlink to a worklist item embedded in an e-mail notification. K2 believes it enough to include such a link by default in every SmartForms Client Event Notification.

The problem with this lies in the point-in-time nature of e-mail messaging.

We’ve sent a request to security to delete an security group and to create a new one. The ticket is completed, but I can’t assign the new group to a role in K2 because I can’t see the new group. What I can see, though, is the old group name when I search for the new group. What gives?

Technologies can mean so much more to the business than being just another “thing” put in by IT. Adoption will drive the return on the investment (ROI) — and we’ll get a far greater ROI by engaging everyone than we would by keeping it hushed up in Systems. So  it’s up to us (in Systems, as the implementors) to promote adoption across the enterprise by creating excitement and demand for the platform.
